Prompts

Prompts control the available column filters exposed in the Filter bar.

Rather than populating every possible attribute choice for dashboard runtime filters, with Prompts you can define the filter properties to include only the attributes, operators, and values relevant to your dashboard. You can also set default values for columns and default filter expressions for formulas.

Once Prompts have been set up, only defined Prompts appear in the filter bar and any previously exposed column filters are no longer available.

Create a Prompt

To create a Prompt follow these steps:

  1. Choose a dashboard from the Content screen.
  2. Select More Options (kebab icon) in the dashboard’s action bar then Manage Filter & Prompts to open the Dashboard filters screen.
  3. Select the Prompts tab from the Dashboard filters screen.
  4. From the data panel on the left, select the column(s) you want to add to the filter tray.

    • To add a column: Drag and drop the column into the filter tray, or click the + button (plus sign) to the right of the column’s name.
    • To preview the column details before adding it to the filter tray, click the View icon (eye icon) next to the column name.
  5. Select Done from the data panel after completing your choices to return to Dashboard filters.
  6. Select Run Dashboard to preview the effects of your changes.
  7. Select Done from action bar to return to the dashboard view.

Configure Prompt Properties

Prompts support a variety of configurations:

  • One or more columns can be specified as prompts
  • Selected columns can be keys, dimensions, or measures
  • Columns and formulas can be of any data type
  • A formula can be a prompt
  • A business schema view formula column can also be a prompt

You can further define the prompt by enabling the following optional settings found in the Prompt Properties menu:

  • Default Filter
  • Mandatory Filter
  • Hierarchy Level

Default Filter Prompt Setting

The Default Filter prompt property specifies the filter expression for the column or formula.

  • For a column prompt, the filter expression consists of the selected column, selected filter operator, and selected values.
  • For a formula prompt, the filter expression consists of the formula expression that evaluates to either true or false.
  • Certain filter operators afford various options for selecting one or more filter values. For example, the In and Not In operators allow for the selection of none, one or more, or all filter values.

Once enabled, prompts with default filters will appear on the dashboard filter bar. A user may edit, remove, or clear prompts with default filters, as long as they are not also set as a mandatory filter.

Mandatory Filter Prompt Setting

rty only appears when the Default Filter option is enabled. Once enabled, the user will not have the option to remove this prompt filter from the dashboard.

Hierarchy Prompt Setting

The Hierarchy setting is relevant for tables with self-referential joins. Once enabled, a level must be specified.

Enable Default Filter Setting

After selecting your dashboard, enable a default filter for a prompt with these steps:

  1. Select a dashboard from the Content screen.
  2. Select More Options (kebab icon) from the dashboard action bar.
  3. Choose Manage Filters & Prompts from the dashboard options menu to open the Dashboard filters screen.
  4. Select the Prompts tab.
  5. From the filter tray, click the down caret on any Prompt to open its Properties Menu.

    • Toggle the Default Filter switch on to enable the default filter. The switch will turn blue to indicate the filter is enabled.
    • Toggle the Mandatory Filter switch on to make the filter mandatory. Remember, this option only appears when the Default Filter option is enabled.
    • Toggle the Hierarchy switch on to specify a hierarchy level for tables with self-referential joins.
  6. Click the Run Dashboard button on the Dashboard filters screen to apply your changes.
  7. Select Done from the Dashboard filters action bar to return to the Dashboard view.

Choose Prompt Filter Operator and Values

Certain filter operators afford various options for selecting one or more filter values. For example, the In and Not In operators allow for the selection of none, one or more, or all filter values.

If the Default or Mandatory Filter settings have been enabled in Prompt Properties, you can select the operator and values from the Prompts tab:

  1. Select the down caret on the Prompt to open the Prompt Properties.
  2. Select the filter operator by clicking the current [Operator] located to the right of the filter name, then make your choice from the Choose Operator list.
  3. Add the filter value(s) by entering the value into the search box or adding multiple values at once.
  4. Save the filter expression by selecting Filter.

To add multiple values at once:

  1. Click Bulk.
  2. Select the Delimiter: Comma or Line Break.
  3. Copy and paste one or more values separated by the chosen delimiter.
  4. Save the filter expression by selecting Filter.

After you finish choosing the operator and values, click Done to return to the Dashboard view.

Disable Default Prompt Filter

  1. Select a dashboard from the Content screen.
  2. Select More Options (kebab icon) from the dashboard’s action bar.
  3. Choose Manage Filters & Prompts from the dashboard options menu to open the Dashboard filters screen.
  4. Go to the Prompts tab.
  5. From the filter tray, click the down caret on a Prompt pill to open its Properties Menu.
  6. Toggle the Default Filter or switch to the left to disable it. The switch will turn grey to indicate the filter is disabled. (Disabling the Default Filter will automatically disable the Mandatory Filter as well.)
  7. Select Done to return to the dashboard.
